Parts Order Fulfillment Coordinator
The Parts Order Fulfillment Coordinator is responsible for processing and coordinating customer parts orders from receipt through delivery. This role ensures order accuracy, verifies pricing and inventory availability, communicates order status updates, resolves fulfillment issues, and supports invoicing, shipping, and inventory processes. The ideal candidate is detail-oriented, customer-focused, and able to manage multiple priorities in a fast-paced manufacturing environment.
Key Responsibilities Include:
- Order Processing: Accurately input customer data, item numbers, pricing, and quantities into the company database or ERP system.
- Verification: Review incoming purchase orders for completeness, verifying stock availability, shipping terms, and correct discounts.
- Communication: Serve as the primary contact for order confirmations, backorder updates, and delivery schedules.
- Dispute Resolution: Identify discrepancies, manage returns or warranty requests, and coordinate with the warehouse or accounting to resolve issues.
Qualifications:
- Experience with data entry, preparation, and analysis in a business environment
- Customer service and communication skills
- Knowledge of basic business process activities (invoicing, shipping, inventory, credits, price/cost/margin analysis)
- Familiarity with business computer systems (including spreadsheets) in a distribution or manufacturing environment
- The ability to multitask in a fast paced environment
- Attention to detail and organization
- A bachelor’s or associates degree in business or related field is preferred
- The ability to cross train and fill in with support for non-core activities when needed
